About the Role
We are looking for a highly organized and experienced Executive Assistant to provide administrative and executive support to the Managing Director of an Exploration and Production company. The ideal candidate will be proactive, have strong interpersonal skills and attention to detail. This role encompasses a wide range of responsibilities including managing the MD’s schedule and coordinating complex projects.
Key Duties and Responsibilities
- Manage the MD’s calendar, schedule appointments and coordinate meetings with internal and external stakeholders.
- Be the primary point of contact between the MD, internal teams, vendors and business partners, ensuring clear and timely communication.
- Provide administrative and office management support to the Managing Director.
- Coordinate travel arrangements, book flights, accommodation and visas.
- Review documents, reports and correspondence for format, content, grammar and spelling, make edits as necessary.
- Organize and prepare meeting materials, take minutes and ensure timely follow up on action items and deliverables.
- Prepare and review internal and external presentations.
- Draft reports, prepare background documentation and conduct research.
- Screen and direct inbound telephone calls, emails and visitors to the MD’s office.
- Troubleshoot and escalate office administration issues as needed.
- Review, evaluate and distribute priority correspondence for the executive team.
- Facilitate communication with department managers, business unit leaders and project managers.
- Take notes.
- Present a positive and professional image of the executive office to visitors, suppliers and others.
- Perform other duties as assigned by the MD.
Key Requirements
Education and Work Experience:
- Bachelor’s Degree in any discipline.
- 5-8 years of experience in an administrative role.
Skills and Competencies:* Calendar management, scheduling and executive task prioritization.
- File, record and data organization for easy retrieval.
- Travel, meetings and logistics coordination.
- Time management for self and executive.
- Verbal and written communication (emails, reports, memos).
- Office software (Microsoft Office, Google Workspace) proficiency.
- Meticulous attention to detail in reviewing documents, scheduling and presentations.
- Decision making and interpersonal skills.
- Project management.
